Communications/Office Manager

Accountable to:  Senior Pastor and Personnel Committee

Works With:  Bookkeeper

Supervises:  Office and Custodial Staff

Full-Time:  8:30am to 5:00 pm Monday through Friday

Attendance at monthly Board of Trustees and Personnel Committee meetings may be required.

 

Responsibilities:

Communications                

1.       Assist visitors, members, lay leadership and staff in finding available information.

2.       Work with Publisher/Receptionist to produce, maintain and distribute the following:

a.                    Newsletters (printed and electronic)

b.                   Bulletins

c.                    Church website

d.                   Informational brochures

3.       Work with Publisher/Receptionist in overseeing the maintenance of an up-to-date event and church usage calendar.

4.       Be in the office during normal office hours and make sure the office is staffed in his/her absence.

5.       Monitor the church email and process or route the email.

6.       Publish Annual Report each year in January.

7.       Coordinate booking of outside groups that use the church.

 

Office

1.       Serve as the Initial Contact Point between First Congregational Church and its  Members and the Public, providing direction for further contact as necessary

2.       Work with Personnel Committee in managing janitors and office staff.

3.       Maintain Personnel records on all staff members including managing requests for vacation, personal days, etc.

4.       Work with Personnel Committee in maintaining the church employment manual and assuring legal compliance with employment laws.

5.       Work to maintain effective and efficient office procedures, i.e., getting publications out.

6.       Purchase office equipment within budget constraints and recommend a yearly budget for office needs.

7.       Tend to all general office duties – answer phone, answer door, manage office traffic.

8.       Order all office supplies.

9.       Perform secretarial duties for the Senior and Associate Pastors as needed or delegate them to the Publisher/Receptionist as workload permits.

10.    Maintain and Update Office Computer Hardware and Software

 

Building

1.       Work with Trustees on all issues pertaining to the church property and its upkeep and insurance.

2.       Maintain records of vendors related to the church and its maintenance.

3.       Oversee the ordering of custodial supplies.

4.       Coordinate vendor repair visit supervision with Head Custodian
